If you’re planning a wedding in Arizona, a backyard wedding is one of the most personal and beautiful ways to celebrate. Done right, a backyard wedding feels intimate, relaxed, and completely your own — without the restrictions of a traditional venue. Planning one well, though, takes more coordination than most couples expect.
At Wood-n-Crate Event Rentals, we’ve set up backyard weddings across the Phoenix Valley since 2015 — from intimate 30-person ceremonies to full 150-guest receptions on grass and hard surfaces in Gilbert, Mesa, Chandler, Queen Creek, and everywhere in between. Here’s everything we’ve learned about making a backyard wedding in Arizona work beautifully.
1. Choose Your Date Carefully — Arizona’s Climate Is Everything
This is the most important decision you’ll make for an Arizona backyard wedding. The desert climate is stunning, but it is unforgiving if you pick the wrong time of year.
Best months for a backyard wedding in Arizona: October, November, March, and April are our busiest months for good reason — temperatures are ideal, evenings are comfortable, and the desert light is extraordinary. February and early May are also excellent.
Summer (June–September): Daytime temperatures regularly exceed 105°F in the Phoenix Valley. If you’re committed to a summer date, plan your ceremony and reception to start no earlier than 6:00 PM. The temperature difference between 5:00 PM and 7:00 PM in Arizona can be 10–15 degrees — that’s the difference between miserable and magical. Shade structures, misters, and cold water stations are essential for any summer guests arriving early.
Fall and winter evenings: Don’t be fooled by warm afternoons — desert temperatures drop quickly after sunset from October through February. Patio heaters are one of our most popular add-ons for fall and winter backyard receptions. Blanket favors are a charming and practical touch for winter events.
Always have a backup plan. Arizona weather is generally predictable, but monsoon season (July–September) can bring sudden storms. Have an indoor location or tent option on standby if your date falls in that window.

2. Know Your Space — Measure Everything Before You Book Anything
One of the most common backyard wedding mistakes is underestimating how much space the rentals actually require. Before you book anything, walk your backyard with a tape measure.
Key measurements to take:
- Total usable square footage (subtract pool areas, landscaping, and structures)
- Width of any gates or access points our delivery truck needs to pass through
- Distance from the street to your setup area (long carry distances may affect delivery logistics)
- Whether your surface is grass, pavers, concrete, or a mix
As a general guide:
- Each 8-foot farm table requires approximately 8 x 4 feet of space for the table itself, plus 3 feet of clearance on each long side for guests and servers — roughly 8 x 10 feet total per table
- A 15×15 dance floor needs a flat, level surface and approximately 20 x 20 feet of total space including surrounding clearance
- Your ceremony space needs enough room for your arch, an aisle, and seating or standing room for all guests

3. Get the Essentials Sorted First
Before you think about florals and decor, make sure the foundational pieces are covered. These are the things that make or break the guest experience.
Tables and seating. Our custom-built 8-foot wood farm tables are the most popular choice for Arizona backyard weddings — they seat guests beautifully, look stunning without tablecloths, and hold up in outdoor settings. Dance floor. Dancing in the grass in heels is no fun for anyone — and a dance floor protects your lawn too. Our Backyard Wedding Bundle includes a 15×15 dance floor, which comfortably accommodates most backyard reception guest counts. We have multiple sizes available for larger events. Our dance floors can be set up on level grass or a paved surface.
Lighting. Lighting is what transforms a backyard from a nice outdoor space into a truly magical wedding setting. Our bistro string lighting is installed by our team of lighting professionals to fit your specific layout, and a complimentary lighting consultation is included with every lighting order. Don’t underestimate how much the right lighting changes the feel of an evening reception.
Ceremony arch or backdrop. Every backyard wedding needs a designated ceremony space — even a simple one. Our handcrafted wood arches and greenery backdrops create a clear focal point for your ceremony and give your photographer a beautiful frame to work with.
Ceremony platform. New to our inventory in 2026 — our 8ft round glossy white ceremony platform elevates your vows (literally) and creates a stunning visual anchor for your ceremony. 4. Don’t Forget the Logistics — They Make or Break the Day
This is where backyard weddings catch couples off guard. A traditional venue handles most of this for you — in your backyard, it’s all on you.
Power. You need more power than you think. Your DJ, lighting, catering equipment, and any other vendors all need electricity. Check your home’s electrical capacity in advance and seriously consider renting a generator as a backup. The last thing you want is to blow a fuse mid-reception.
Restrooms. Don’t expect all your guests to use your home’s bathrooms — for events over 50 people, portable restroom rentals are strongly recommended. Modern luxury restroom trailers are a far cry from the basic porta-potties of the past and won’t feel out of place at a wedding. Plan for one restroom per 50 guests as a minimum.
Parking. Where are 80 or 100 guests going to park? Check your HOA rules, neighborhood regulations, and street parking availability well in advance. For larger events, consider coordinating a nearby parking area with a shuttle, or hire a valet service. Give your neighbors a heads up too — a brief note or conversation goes a long way.
Trash and recycling. It sounds unglamorous but it matters. Plan for significantly more trash than you expect — a 100-person wedding generates a lot of it. Place bins in multiple locations around your yard and designate someone to manage them throughout the event.
Noise ordinances. Most Arizona cities and towns have noise ordinances that kick in at 10:00 PM or 11:00 PM. Know your local rules before you book your DJ and plan your timeline accordingly.
5. Prepare Your Yard
Your backyard is your venue — treat it like one.
Landscaping. Mow your lawn 2–3 days before your event (not the day before — freshly cut grass stains everything). Edge your lawn and trim any overgrown plants or shrubs. If your yard has any bare or patchy grass areas, address them a few weeks out so they have time to fill in.
Level your surface. Farm tables, dance floors, and arches all need to be level to look right and function safely. Walk your yard and identify any uneven spots — our delivery team uses leveling techniques and shims, but a significantly uneven surface can be a challenge. Let us know in advance if your yard has slope or terrain challenges.
Lighting your pathways. Beyond your reception lighting, make sure guests can navigate safely between your ceremony area, reception area, and restrooms. Simple solar path lights or luminaries work well and add a nice touch.
Landscaping and irrigation. Turn off any automatic sprinkler systems for the 48 hours surrounding your event. A sprinkler going off during your ceremony is not the memory you want.
6. Style Your Backyard Wedding
The beauty of a backyard wedding is that you’re starting with a blank canvas. Here are the decor elements that make the biggest impact:
Farm tables over rounds. Farm tables are the single biggest visual upgrade you can make to a backyard wedding. The natural wood grain, the family-style seating, the way they photograph in Arizona’s golden evening light — nothing matches it. Leave the wood bare or add a simple runner and some greenery.
Bistro lighting overhead. String lights above your reception area create an instant transformation. Combined with the warm Arizona evening air, there’s nothing more romantic. This is the one element we hear about most often in client reviews.
A ceremony arch. Even a simple arch frames your ceremony beautifully and gives your photographer a focal point. Our arches are handcrafted and available in multiple styles — from simple wood beams to full greenery-covered structures.
Florals built for Arizona heat. Work with your florist on heat-tolerant arrangements. Succulents, dried pampas grass, tropical greenery, and eucalyptus all hold up beautifully in warm temperatures. One exciting trend we’re seeing in 2026 is faux floral rentals — high-quality silk arrangements that look indistinguishable from fresh flowers in photos, hold up perfectly in Arizona heat, and often come in at a lower price point. Lounge areas. A small lounge setup — a few chairs and a low table — creates a great space for guests to gather between dancing and dinner. Our lounge furniture is a popular add-on for backyard weddings and gives your yard a finished, intentional feel.
Yard games. Yard games during cocktail hour are a natural fit for backyard weddings — they keep guests entertained, break the ice, and photograph well. Our yard games are available as a rental add-on.
7. Work With a Vendor Team You Trust
A backyard wedding requires more vendor coordination than a traditional venue wedding — there’s no venue coordinator managing load-in windows and setup logistics. Make sure every vendor you hire has experience with residential events and knows what to expect.
