Let Arizona’s landscape do the heavy lifting. Keep centerpieces low and organic — dried pampas grass, eucalyptus, succulents, and terracotta pots work beautifully and hold up in Arizona’s heat. Leave the wood bare (no runner) to let the grain show through. Add simple taper candles in glass hurricanes for evening warmth. This style works especially well at Queen Creek ranches, East Valley outdoor venues, and backyard settings.

The Rustic Elegant Look

Layer your farm tables with gauze or linen runners (in white, ivory, or sage), lush greenery garlands down the center, and pillar candles of varying heights. Add cross-back chairs rather than benches for a more formal feel. This is the most popular farm table style for Scottsdale and North Scottsdale wedding venues — it bridges rustic and refined beautifully.

The Modern Minimalist Look

Keep everything clean and intentional. White linen runners, simple bud vases with single-stem florals, minimal candles, and a monochromatic color palette. Cross-back chairs in white or ghost chairs complement this look well. This style works beautifully for indoor-outdoor venues in Chandler and Mesa, where couples want a contemporary feel with a natural wood element.

Planning Your Farm Table Layout

One of the most common questions we get is how to lay out farm tables for a reception. Here are the basics:

How many tables do you need? Each 8-foot farm table seats up to 10 guests — 4 per side, plus one chair at each short end. However, if you’re placing tables end-to-end in long rows, you’ll lose the end seats where tables meet, bringing each table to 8 guests. For 100 guests in long rows, plan on 13 tables. For 100 guests with tables spaced independently, 10 tables will do it. We recommend confirming your layout with us when you book so we can help you calculate the right number of tables for your specific setup.

How much space do you need? Allow at least 60 inches (5 feet) between parallel rows of tables — this gives guests room to sit, stand, and for servers to move comfortably. Each table needs about 3 feet of clearance at each end. For a layout of 10 tables in two rows of 5, a space of approximately 50 x 30 feet is a comfortable minimum.

Should you do all farm tables or mix with rounds? Both approaches work beautifully — it really comes down to your vision and budget. All farm tables creates a cohesive, dramatic look that photographs incredibly well. But mixing farm tables with rounds is actually very popular in Arizona and something we actively encourage for budget-conscious couples. A common approach is to use farm tables for the main seating area and rounds for the perimeter, or to feature farm tables prominently for the head table and bridal party while rounds fill out the guest seating. The key is being intentional about the mix — grouping farm tables together rather than scattering them randomly throughout the room keeps the look cohesive.

Long rows vs. broken rows? Long continuous rows (pushing multiple tables end-to-end) create a dramatic, banquet-hall feel and work well for larger guest counts. Shorter rows of 2–3 tables with gaps between them feel more intimate and are easier to navigate for guests and servers alike.

Farm Table Weddings in Arizona’s Heat — What to Know

Arizona’s climate requires a few extra considerations for outdoor farm table receptions, especially during spring and summer.

Evening timing is everything. For outdoor farm table receptions from April through October, plan your reception to start no earlier than 6:00 PM. The temperature difference between 5:00 PM and 7:00 PM in Arizona can be 10–15 degrees — that’s the difference between uncomfortable and magical.

Choose heat-tolerant florals. Some flowers wilt quickly in Arizona heat. Work with your florist to choose heat-tolerant varieties — succulents, dried flowers, and tropical greenery are all excellent choices that look beautiful on farm tables and hold up in warm temperatures. Another trend we’re seeing take off in 2026 is faux floral rentals — high-quality silk and artificial arrangements that are completely indistinguishable from fresh florals in photos, hold up perfectly in Arizona heat, and often come in at a lower price point than fresh flowers. Candles and wind. Arizona evenings can be breezy, especially in the East Valley. Use enclosed glass hurricanes or lanterns for candles rather than open taper holders — they’ll stay lit and look stunning in the desert breeze.

Patio heaters for fall and winter. October through February nights in the Phoenix Valley can drop quickly after sunset. Patio heaters are one of our most popular add-ons for fall wedding receptions and keep guests comfortable without interrupting the aesthetic.

Consider your surface. Farm tables need to be level to look right. On grass, our delivery team uses shims and leveling techniques to keep every table even. On gravel or uneven terrain (common at Queen Creek ranches), let us know in advance so we can plan accordingly.


How Far in Advance Should You Book Farm Tables in Arizona?

This is the question we get asked most often — and the honest answer is: earlier than you think.

At Wood-n-Crate, our farm tables are typically 80–90% booked about two months before our peak season. Arizona’s wedding season runs October through May, with October, November, March, and April being the busiest months. For a Saturday wedding in any of those months, we recommend booking your rentals 8–12 months in advance.

For summer weddings (June–September) and December, availability is generally better and a 3–6 month lead time is usually sufficient — though earlier is always better, especially if your guest count requires 10 or more tables.

Tips for securing your date:

  • Book as soon as your venue is confirmed — don’t wait until your other vendors are in place
  • A 50% deposit holds your order; the balance isn’t due until two weeks before your event
  • You can add items after booking, so it’s better to reserve your tables early and add chairs or accessories later than to wait and risk losing availability

Farm table rental costs vary based on your guest count, the number of tables and chairs needed, and your venue’s location. Here’s a general framework for Phoenix Valley couples:
